This Privacy Policy explains how SW Accounting & Consulting Corp. (“SW Accounting,” “we,” “us”) collects, uses, protects, and shares information through our website, www.sw-cpas.com, and through the data connections we use to provide bookkeeping, accounting, and tax services to our clients.
1. Who this policy covers
- Website visitors who browse www.sw-cpas.com or contact us through it.
- Clients who engage us for bookkeeping, accounting, or tax services and who authorize us to connect to their business platforms.
- Our clients’ customers, whose limited order information may be included in the data a client authorizes us to access.
2. Our bookkeeping data connections
With a client’s authorization, we connect read-only to the platforms the client uses to run its business. These connections include our applications for Shopify, the Amazon Selling Partner API, TikTok Shop, and read-only access to Stripe, Mercury, and bank accounts linked through Plaid.
Our applications request read-only access. They cannot place or change orders, move money, change prices or inventory, or modify any store or account settings.
3. Information we collect
From website visitors
- Information you submit through our contact form: name, email address, and your message.
- Standard technical information collected by our website host and analytics tools, such as IP address, browser type, and pages visited.
From clients, when you authorize a data connection
- Sales and order data: order totals, items, discounts, taxes collected, shipping charges, refunds, and returns.
- Settlement and payout data: platform payouts, settlement reports, fees, reserves, disputes and chargebacks, loan or financing repayments withheld from payouts, and the bank account to which payouts are sent.
- Bank and payment-account transactions: dates, amounts, and descriptions.
- Business records such as gift card and store credit balances, payment terms on invoices, and inventory cost and quantity.
About our clients’ customers
Order data can contain a buyer’s name, shipping and billing address, email address, and phone number. We use this information only as described in Section 4. We do not request customer data from the Amazon Selling Partner API.
4. How we use information
We use the information only to provide the professional services our clients engage us for:
- Recording revenue, fees, refunds, taxes, and other transactions in the client’s books.
- Reconciling platform payouts to bank deposits.
- Preparing financial statements and management reports.
- Determining sales tax obligations by state and local jurisdiction, including economic nexus thresholds. This is why we use ship-to state and ZIP code.
- Maintaining receivables records, such as which customer owes an invoice under payment terms.
- Preparing tax returns and supporting schedules, when engaged to do so.
We do not sell or rent personal information, use it for advertising, build marketing profiles, or contact our clients’ customers.
5. Professional confidentiality
As a CPA firm, we are bound by professional standards of client confidentiality. Tax return information is used and disclosed only as permitted by Section 7216 of the Internal Revenue Code and its regulations.
6. How we share information
We share information only:
- With service providers that host and process data on our behalf, such as our cloud database, application hosting, and email providers. They are bound by contract to use the data only to provide services to us.
- With the client who owns the data, including through our secure client portal.
- When required by law, such as a valid subpoena, court order, or tax authority request.
- With the client’s written consent.
We do not share data obtained through the Amazon Selling Partner API, Shopify, or TikTok Shop with any third party except as described above and as permitted by those platforms’ policies.
7. How we protect information
- Data is encrypted in transit (TLS) and at rest.
- Platform access credentials (API tokens and keys) are stored encrypted and are never displayed, logged, or sent by email.
- Access is limited to authorized SW Accounting personnel who need it to serve the client, using individual accounts with multi-factor authentication.
- Data is stored with service providers located in the United States.
- We review access and security practices periodically and respond promptly to any suspected security incident, including notifying affected clients and platforms as required by law and by platform policies.
8. How long we keep information
- We keep client financial records for the length of the engagement and for as long as professional and tax record-keeping rules require, generally up to seven years.
- When a client disconnects an integration or ends the engagement, we revoke our access and delete the stored access credentials within 30 days.
- Customer contact details (name, email, phone, street address) are retained only as long as needed for the purpose described in Section 4.
9. Disconnecting a platform
A client can revoke our access at any time:
- Shopify: Settings › Apps › SW Accounting Bookkeeping › Uninstall.
- Amazon: Seller Central › Apps and Services › Manage Your Apps › Remove authorization.
- TikTok Shop: Seller Center › App & Service management › Deauthorize.
- Stripe or Mercury: delete the restricted or read-only key you created for us.
- Plaid: contact us, or remove the connection through your bank’s connected-apps settings.
Please also let us know, so we can confirm deletion of the stored credentials.
10. Your choices and rights
You may ask us to access, correct, or delete personal information we hold about you, subject to our legal and professional record-keeping obligations. California residents have rights under the California Consumer Privacy Act, including the right to know what personal information we collect and to request its deletion. We do not sell or share personal information for cross-context behavioral advertising. We will not discriminate against you for exercising these rights.
If you are a customer of one of our clients, please contact that business first. We will assist our client in responding to your request.
11. Children
Our website and services are not directed to children under 13, and we do not knowingly collect their personal information.
12. Changes to this policy
We may update this policy from time to time. The effective date at the top shows when it was last revised.
